About LiemersNovum

LiemersNovum is a multi-school foundation based in East Gelderland (Duiven, Montferland, Westervoort and Zevenaar), comprising 25 primary schools. These range from small village schools with just four classes to larger sites with more than 500 pupils.

The foundation is committed to delivering quality and ensures that education, childcare and upbringing are closely coordinated. LiemersNovum provides support to its schools across a wide range of areas, including ICT.

Starting point.

Two systems, two management approaches—and above all: double the frustration. That was the printing situation at LiemersNovum following a merger. Teachers and staff had to log in using two separate credentials, multifunction printers (MFPs) frequently malfunctioned, and the ICT department was inundated with daily complaints.

It was time to bring order to the chaos. As ICT staff officer, Hubert Jorna is responsible for policy, system management and contracts at LiemersNovum. He serves as the central point of contact for external partners. Together with ARP, he opted for a single, standardised Follow-Me solution: Canon uniFLOW Online. The result? One stable system, fewer disruptions, and above all: simpler and more secure printing.

The challenge – One user-friendly system.

Following the merger, LiemersNovum was operating two separate print environments: HP multifunction printers (MFPs) with Printix, and Canon single-function printers (SFPs) with uniFLOW Online. Hubert explains: “The Printix setup was a constant source of frustration. Teachers and staff had to enter an ID code followed by a PIN. I was dealing with malfunctions almost daily—certainly every week.” The request to ARP was clear: consolidate everything into one stable, user-friendly system, with a single brand and unified management. A short implementation timeline was also a key requirement.

Assessment

Where were the pain points? How did the two environments operate?

Decision

Switch to Canon MFPs with uniFLOW Online. The Canon contract extension allowed Printix to be phased out more quickly.

Preparation

Close coordination between the ICT department (Hubert) and ARP contacts Wichard van Engelshoven (Consultant Document Solutions) and Frank van den Berg (Sales Managed Print Services).

Rollout

Carried out according to a tight schedule, supported by a driver who delivered the multifunction printers (MFPs) and a hardware engineer who assisted with installation and setup.

Clear communication and short lines of contact made the transition seamless. Having already gained experience in an earlier phase, Hubert knew exactly where potential issues might arise. Together with ARP, he carefully coordinated what was needed, which locations to prioritise, and how to structure the schedule as efficiently as possible.

He explains: “That not only made the rollout really smooth—we actually finished ahead of schedule. Working with Wichard and Frank from ARP was key. They were always open to solutions. While other providers tend to stick rigidly to contracts or timelines, ARP offered flexibility and trust.” This allowed for quick decisions and kept the project from becoming unnecessarily complicated.

  • The hardware was preconfigured in advance. Next time, it could even be plug-and-play, says Hubert.
  • Cost-efficiency – LiemersNovum chose black-and-white printing as the default as it is practical and budget friendly.
  • GDPR-compliant – The new print environment isn’t just practical, it also offers improved data privacy and compliance with GDPR.

The results – Less administrative effort, lower costs and greater ease of use.

In just one day, twelve locations were migrated to a single, unified print environment and the switch to Canon uniFLOW Online delivered immediate benefits. “Back in the day, I was constantly putting out fires. Now, technical issues are rare. Managing the system has become much easier and I only log in when absolutely necessary,” says Hubert.

And what about the end users? “For teachers and staff, printing has become much simpler. They just log in and collect their printout from the printer they’ve selected.”

The new solution also helps keep costs under control thanks to smart defaults—like printing in black and white—which ensure spending stays manageable. Or as Hubert puts it: “Printing isn’t a topic of conversation anymore—it just works. And that’s exactly what we wanted.”

The new setup also ensures LiemersNovum complies with GDPR requirements, as in education, staff handle personal data and confidential documents every day. “With Canon uniFLOW Online, every print job is only released once the user identifies themselves at the printer using a badge,” Hubert explains. “This means documents are never left unattended, reducing the risk of data breaches—without compromising the user experience.”

I can reach out to Wichard and Frank straight away and always get a fast response. That was true at the start of the project—and it still is.
